We manage personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth) where that Act applies. We follow this standard on this website even if a small-business exemption might otherwise apply.

What this policy covers

This policy covers the public website, the enquiry form, staff dashboard login, and related emails about an enquiry or job. Quotes and on-site work are confirmed separately.

What we collect

Depending on how you deal with us, we may collect:

  • Name, business name, and job title
  • Email address and phone number
  • Site or property address and service location
  • The service you selected and details of your fire safety enquiry
  • Messages you send by form, email, or phone
  • Limited technical data such as IP address, browser type, and pages viewed, from server logs and, if enabled, Google Analytics 4
  • Staff login details for the website dashboard

We do not ask for health or other sensitive information on this website.

How we collect it

We collect personal information when you:

  • Submit the contact or quote form
  • Email, call, or message us
  • Browse the site (logs and optional analytics)
  • Sign in to the staff dashboard

Why we collect it

We use personal information to:

  • Respond to enquiries and provide quotes
  • Deliver, schedule, and support fire protection services
  • Communicate about compliance, maintenance, and related work
  • Run and improve the website
  • Meet legal, insurance, and regulatory obligations

If you do not provide contact details, we cannot reply to an online enquiry. We do not sell your personal information.

Who we share it with

We share information only as needed to operate this website and deliver our services:

  • Railway — website hosting and database (typically United States)
  • Resend — transactional email such as staff login codes (typically United States)
  • Glass Half Full AI Forms-Service — processing contact form submissions
  • Google — Maps embeds, and Analytics 4 if that measurement ID is switched on (United States)
  • Glass Half Full AI — hosts and supports this website as our service provider
  • Subcontractors or partners involved in work you have requested, only as needed
  • Professional advisers, insurers, or authorities where the law requires it

Overseas disclosure

Personal information submitted through this website is likely to be disclosed to overseas recipients. For our ordinary stack those recipients are in the United States (Railway, Resend, and Google if analytics or Maps are used). Those providers are not always subject to the Australian Privacy Principles. We take reasonable steps in the circumstances, including using reputable hosted services over HTTPS.

Cookies, analytics, and pixels

Essential cookies are used for the staff dashboard session. The public site works without that cookie.

If Google Analytics 4 is enabled, it measures how the site is used. You can block analytics cookies in your browser.

We do not run Meta, TikTok, or other advertising pixels on this site.

Direct marketing

Submitting an enquiry does not add you to a marketing list. We use your details to respond to that enquiry. If we later send promotional email or SMS, we will only do so with consent, and every commercial message will identify us and include a working unsubscribe.

Security and how long we keep information

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access. No internet transmission is completely secure.

We keep enquiry and customer records for as long as needed to provide the service and for legal, accounting, insurance, or compliance reasons. When information is no longer required, we take reasonable steps to destroy or de-identify it.

Access, correction, and complaints

You can ask for access to, or correction of, personal information we hold about you, or complain about how we have handled it, by emailing accounts@defpgroup.com.au or calling 54823747.

If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Notifiable data breaches

If we have reasonable grounds to believe that an eligible data breach has occurred that is likely to result in serious harm, we will notify affected individuals and the Australian Information Commissioner as soon as practicable, as required by the Notifiable Data Breaches scheme where it applies.

Automated decisions and children

We do not use a computer program on this website to make decisions that could significantly affect your rights or interests.

This website is directed at businesses and property managers, not children.

Links to other sites

Our website may link to third-party sites (for example maps). We are not responsible for the privacy practices of those sites.

Changes

We may update this policy from time to time. The “Last updated” date at the top of this page will change when we do.
